Q: Can students negotiate their own schedule, attendance, placement hours, or planned absences?

A: No. Students must attend the rostered placement hours as determined by their supervisor or placement site. Planned absences or changes to attendance cannot be negotiated directly with the supervisor. All absences must meet the AVA Approved Grounds to be considered for approval

Q: How should students manage absences?

A: If a student is unable to attend a shift, they must:

  1. Notify their supervisor as soon as possible, and
  2. Email their Unit Assessor, and
  3. Submit a Placement Attendance Variation Application (AVA) in Sonia Online

All three steps must be completed for the absence to be formally considered.

Q: What do supervisors need to do with timesheets?

A: Students will submit their timesheets through Sonia Online. Supervisors are required to review and approve the timesheet once submitted. We strongly recommend supervisors approve timesheets weekly, as this allows the Unit Assessor to track student hours and progress throughout placement. More information can be found on the Sonia Quick Guide - OT Supervisor.
